Basic Keyword Search

The basic keyword searches for any field that is displayed in the search results:

The name of the student, school, or district.

Student identifiers: Local-ID, State-ID, National-ID.

<li>

Student date of birth or last four of student's SSN.

</li>

<li>

Any SSN that begins with a '9' (which indicates that the number is NOT an SSN, but a random number assigned by the district).

Student enrollment date or graduation date.

There are a couple of handy hints:

Enter part of the first and last name. For instance 'Bil Ad' would find 'William Adams'.

Notice first names match against common nicknames:

Start typing a date in the format YYYYMMDD. The search results will start with students who's enrollment date, or graduation date that are close to what has been entered. Notice that the beginning of a date usually also finds identifiers that have the same numbers.

<li>

Enter an exact SSN (with the dashes like 111-22-3333) to find a record matching that SSN. Clicking the found record will open the student's transcript record.

<li>

Enter a Smart Core authorization code (with the dashes like Tb8p-AwMD-Bgcv-EaQM) to find a record for that authorization code. Clicking the found record will open the student's Smart Core report.

Advanced searches contain a combination of field:value pairs.

The search will match the value against the contents of the field.

Fields are one of the following types:

Yes/No fields, like 'enrolled', allow a few different entries to represent a Yes value: 'Yes', 'yes', 'Y', 'y' or a '1' all will search for Yes.
Any other value for a Yes/No field means search for a No.

<li>

<p>

Words fields, like 'school', consist of one or more words. Enter some of the letters, or all the letters, in a word to search for the word.

</p>

<p>

To search using multiple words in the same field, surround the words with quotation marks.

</p>

<p>

Will find all schools with Alma in the name.

Will find "Vilonia Primary".

Identifier fields, like 'localID', consist of one or more numbers. Enter some of the numbers, or all the numbers, in an identifier to search for the identifier.

Date fields, like 'grad', have the year, month and day organized as YYYY-MM-DD.

'YYYY' is the four digit year, 'MM' is the two digit month and 'DD' is the two digit day of the month.

If the day is omitted then '01' is used. If the month is omitted then '01' is used.

Use a '~' to indicate a range of dates. '2014~' means on, or after, 2014. '~2014' means 2014 or before.

To find records between two dates (like graduated on, or after, May 1st, 2013 but before, or on, August 1st, 2014) put a '~' between the dates: .

Character code fields have one or more characters in a code for the field. The character code fields are:

Combine key:value pairs to create sophisticated searches.

Some searches by definition should return no results. For instance should not find any records because students who graduated before January 1st, 2015 should not still be enrolled today.

Some fields require specific permissions. If the required permissions to search on a specific field (like EconDis) are not available then the search will be rejected.

</p>

<p>

ANY - With some character code fields, like lep or esi, it is hard to know exactly what to enter for the search. To find all students with some kind of testing accommodation enter . That is 'ANY' (all capitals) for the value and the search will return all records that have at least one character in the field.

</p>

<p>

NONE - To find all records without at least one character in a field then enter . That is 'NONE' (all capitals) for the value and the search will return all records that do not have at least one character in the field.
